Please read the terms & conditions carefully before using Lovely Trails services (herein referred to as 'we', 'our', 'us, 'Lovely Trails', 'company'). Please do not make any booking unless you understand and agree with the following booking conditions.
These terms & conditions apply to all bookings the end-user (herein referred to as 'you', 'client(s)', 'customer(s)', 'traveller(s)', 'guest(s)', 'his, 'her', 'their', 'participant(s)') make with us over the phone, through our website, by email or by walking-in.
Please note that if you're making a booking for traveller(s) other than yourself, you consent that these terms & conditions will bind such traveller(s) also.
It is the sole responsibility of the traveller(s) to carry proper travel documents including but not limited to passport, visa, confirmed tickets (of flight, train, bus, and/or cruise), proof of identification that is necessary for your scheduled tour.
All travellers must have a valid machine-readable passport for international travel with at least 180 days validity from the date of return. Please note that when you're making an international booking, we proceed with further steps assuming that all traveller(s) on the booking have a valid passport. It is the responsibility of the customer to notify us if that is not the case. NRIs, OCI, foreign nationals should have relevant documents confirming their citizenship status before proceeding to book. Please note that it is the responsibility of the traveller(s) to confirm their Nationality/Citizenship details at the time of booking. Any fines, penalties, or expenditures incurred as a result of not having proper travel documents or not meeting the conditions of relevant authorities will be your sole responsibility (except to the extent caused by fault on our part).
Visa documents are a must to process an international booking. Customer(s) can either apply for visas on their own and approach us with a valid visa copy or can seek our assistance in the visa process. Either way, it is the responsibility of the traveller(s) to produce all necessary documents with correct information to process the visa. In cases where we process visas on behalf of our customer(s), please note that we are only facilitators and we do not guarantee approval of your permit. Also, a grant of a visa does not mean entry to the respective country is allowed. Traveller(s) may be detained or even evicted if the concerned authorities at the destination find fit enough reasons to do so.
Lovely Trails is not responsible for entry denial, any charge you may incur during your stay to clear out the process and/or for your return trip. Please note that if your visa application is cancelled, your tour booking is also deemed withdrawn. If a booking has been made, refund, if any, will be calculated and transferred to the customer(s) through original mode of payment within ten working days.
Please be informed that some countries have the provision to grant on-arrival visas for Indian passport holding traveller(s). In such cases, it is the responsibility of the tour participant(s) to bring all necessary documents including but not limited to photograph, application form, authorization letter, amount to be paid for visas etc as required by the respective country’s policy. Please note that the traveller(s) are responsible to familiarize themselves with necessary documents needed for on-arrival visa processing and have all required documents for smooth visa processing. Lovely Trails is not responsible or liable if your on-arrival visa is denied due to lack of any document or any other valid reason given by the local government. In such cases, the tour will be deemed cancelled and Lovely Trails may not initiate refund.
Please be informed that when a foreign national is opting for an Indian tour, the Indian government has the provision to grant on-arrival visas for certain countries’ passport holders. In such cases, it is the responsibility of the tour participant(s) to bring all necessary documents including but not limited to photograph, application form, authorization letter, amount to be paid for visas etc as required by the respective country’s policy. Please note that the traveller(s) are responsible to familiarize themselves with necessary documents needed for on-arrival visa processing and have all required documents for smooth visa processing. Lovely Trails is not responsible or liable if your on-arrival visa is denied due to lack of any document or any other valid reason given by the local government. In such cases, the tour will be deemed cancelled and Lovely Trails may not initiate refund.
The same conditions for on-arrival visa processing are applicable when a foreign national traveller(s) is going to any international country from India as part of our tour package. Please note that the traveller(s) are responsible to familiarize themselves with necessary documents needed for on-arrival visa processing and make sure they have all required documents for smooth visa processing.
It is mandatory that you carry valid original photo identification such as Aadhar card, Pan card, Voter ID, Resident ID card, Passport and/or school/college ID cards in case of students. You will be required to produce any of the mentioned documents in modes of commute, sight-seeing locations, places of accommodation as proof to confirm your booking information and identity.
When the customer makes a confirmed booking, all relevant information regarding the tour will be sent via SMS, WhatsApp message and/or email. Lovely Trails does not guarantee successful delivery of messages that are sent. It is your responsibility to ensure the mobile number, WhatsApp number(if different from mobile number) and email address given to us at the time of booking is accurate; is in working condition and within a reliable network coverage area.
Please note that it is the responsibility of traveller(s) to update Lovely Trails with any change in contact details that may have happened after making a confirmed booking. We are not responsible if we are not able to contact you regarding the tour details if your contact details are not up-to-date in our database.
It is your responsibility to ensure that you're physically fit to meet any health standards set by your travel destinations. Please note that it is the duty of traveller(s) to inform Lovely Trails about any limitations that may arise on tour because of his/her health condition. Traveller(s) should bear any expenses incurred due to his/her health deterioration on tour. Lovely Trails reserves the right to ask for a valid fitness certificate before the scheduled departure, failure of which can lead to refusal of service and cancellation of your tour request from our part. Please note that no refund will be processed in such cases. Any service provider at your destinations shall refuse to offer their services on account of your health condition. Please note Lovely Trails does not take responsibility for such situations. Hence, traveller(s) are advised to be mindful about the general health requirements set by the destination sites. Also, customers should ensure that they carry all the necessary medication and medical documents to avoid any inconvenience. Also, please note that some countries have a list of vaccinations that they expect the traveller(s) to have taken before they enter. Traveller(s) are expected to meet such vaccination conditions failure of which will lead to a decline of entry permit. In such cases, the tour will be deemed cancelled and Lovely Trails may not initiate refund.
Tour plans may have some adventure activities involved that are part of major tourist attractions at the destination(s). Participation in such activities is voluntary. Lovely Trails will not force any customer(s) to participate in such events. If the client(s) wishes to participate, he/she may do so at their sole discretion. However, please be informed that there might be a possibility to encounter loss, injury or even untimely death while performing such adventure activities. Traveller(s) are requested to participate only after taking all precautionary steps and ensuring that it is safe for them to proceed. Please note that Lovely Trail(s) is not responsible for untoward incidents that might happen due to your participation in these kinds of events. By making a confirmed booking and/or going through tour and taking part in such adventure activities, you hereby confirm that you are fully aware of any and all danger involved in such events, that you are equipped wholly, that you wish to participate in such events at your discretion only, and that you will hold us liable or responsible for any unfortunate outcome.
It is the sole responsibility of the tour participant(s) to assess the risk and safety aspects involved in your tour plan and make an informed decision. Please communicate clearly with our representatives about your expectations, wants and needs. Lovely Trails will strive hard to match your expectations of the tour, but we do not guarantee that all your needs will be 100% met. External factors that are out of our control may play a prominent role in most of the events. Any hazards or risks that are out of our control may arise during your period on tour. We request you to be informed and prepared for any danger or threats that we may face during our itinerary. A booking confirmation and further participation in a tour mean that you agree to accept any and all risks known or unknown that may arise during the tour schedule.
Traveller(s) are requested to be mindful that even after planning thoroughly for a safe trip, any tour participant(s) may face some medical emergencies. Lovely Trails may have a qualified staff equipped to handle and administer first-aid should any emergency occur. In such scenarios, the consent to perform first-aid to the traveller(s) in need shall be deemed implied. By booking a tour and participating, you agree without the need to get any further consent that our qualified staff may administer first-aid in necessary medical emergency scenarios. However, please note that first-aids are performed to protect the person, and prevent the escalation of illness or injury until a professional medical team arrives.
In some scenarios, even after performing first-aid, based on the seriousness of the injury or illness, the condition of the traveller(s) who is injured or ill can escalate before a medical team can intervene. Lovely Trails will strive to do our best to provide primary care, but we will not be held responsible or liable should the injury, or illness continue to become severe before a medical team arrives on scene.
Prices quoted are subject to change and can be withdrawn or varied without notice until the payment is made in full. Price changes may occur owing to factors such as fare increase, fuel surcharges, currency fluctuations. It is your responsibility to make sure that you're making the up-to-date price on the day of full payment. All quotes will be mentioned in the tour package in detail.
Lovely Trails may include travel insurance policy as a mandatory requirement on certain tours as an operational or legal requirement. In such cases, the cost of travel insurance will be added in the tour package and it cannot be avoided or omitted. The company will inform the client(s) about such travel insurance requirements before departure and the same will be quoted in the overall tour package. Please note that the rules and regulations of travel insurance will be governed by the respective insurance companies only. Lovely Trails is not responsible or liable for any disputes or concern arising between the client(s) and the insurance provider.
Traveller(s) participating in any activity/ tour/ travel booking do so at their own risk and release, discharge and indemnify Lovely Trails and all associated personnel from and against all liability concerning any loss or injury that they may sustain, on account of negligence caused by any independent operator. Lovely Trails also bear no liabilities for any inconvenience caused under the following circumstances:
It is your responsibility to communicate to us regarding any special needs/requirements that you wish to have such as room type, disabled access, meals etc. We will make our best efforts to fit in your reasonable request wherever possible. Please note that making special arrangements involves many external factors that may be out of our control. Hence, Lovely Trails does not guarantee that all your special requirements will be fulfilled when things are out of our control.
A change in the itinerary can happen due to any of the following reasons. Please be mindful that Lovely Trails doesn't guarantee any compensation or refund under these circumstances.
When a client makes a booking and wants to incorporate any change in itinerary after the booking is confirmed, he/she may do so at least 15 days before the start of the tour(applicable for both domestic and international travel). Lovely Trails may consider the client's request to incorporate the changes. However, we do not guarantee that any or all change requests will be met. Please note that making any change in itinerary will alter the tour cost accordingly. Traveller(s) have to incur any additional charge that may arise due to change in the tour plan. Also, please note that Lovely Trails will not accept any kind of change request within 15 days of departure and during the course of the tour (applicable for both domestic and international travel).

For promotional purposes, Lovely Trails may take photos/videos of traveller(s) enjoying the tourist attractions. We shall use these photos/videos on our website, social media pages, brochures, newsletters and such to promote our services. By booking a tour and participating, you agree without the need to get any further consent that we may use the taken photos/videos for our promotional activities. If you wish to exclude your photos from using it for promotional events, traveller(s) are requested to do so by writing an email to enjoy@lovelytrails.com. Please note that we will exclude your photos only if we receive any email asking for the same. Otherwise, we reserve the right to proceed with our promotions.
It is the responsibility of the traveller(s) to make the payment on time, as mentioned below. Lovely Trails reserves the right to cancel the tour and process no refund in case the payment is not made on time.

Some special tours may have a different Payment and Cancellation policy which will be notified at the time of booking. Lovely Trails will also mention it on the confirmation voucher.
Please note we will incur a 100% cancellation charge on your tour cost if
Lovely Trails reserves the right to cancel or reschedule the tour at any time before departure. Tour cost would be refunded in 10 working days if we initiated the cancellation. We are not responsible for any additional expenses you incurred due to any arrangements made on your own. If the tour is rescheduled, the tour cost will depend on the time coinciding with the rescheduled dates. Excess or short payment, if any will be collected or refunded to or from the traveller(s). Also, please note,
1. Whenever a choice of reschedule is offered, applicable cash refunds will be processed only after the lapse of reschedule period.
2. Certain components of tour cost such as Visa fee may not be refunded if already processed.
In certain cases, the scheduled tour may be possible with all services operational but the local scenario may pose an unfavourable condition such as deteriorating weather conditions, escalating local political tensions, any outbreak of disease or any event that may lead to inconvenience or interruptions to the tour program even when the local government has not issued any travel advisory or border closure or cancellation notification. In such cases, Lovely Trails may advise the traveller(s) to consider cancelling the trip due to the possibility of encountering any risk or discomfort upon continuing the tour as per schedule. However, it shall be the sole discretion of the traveller(s) to decide whether or not to continue the tour in such unlikely events. Please note,
1. If participant(s) wish to cancel the tour, regular cancellation policy will apply and refunds if any will be processed according to the policy
2. If participant(s) wish to continue the tour as per schedule, Lovely Trails may not be responsible or liable for inconvenience caused on tour.
Lovely Trails reserves the right to accept/decline a booking request made by the client(s). We also reserve the rights to refuse service to the customer(s) under the following circumstances:
1. When traveller(s) are aggressive, rude and/or abusive
2. When traveller(s) violate our strict no-smoking, no-drinking and no illicit drug consumption policy while on tour
3. When traveller(s) disrupt our services with their untoward behaviour
4. When traveller(s) turn hostile, violent with one another, with our representatives, the general public, and/or authorities, personnel who are a point of contact during the tour duration
5. When traveller(s) are unreasonably incompatible with other members of the group, our representatives, the general public, and/or authorities, any personnel who are a point of contact during the tour duration
6. When traveller(s) wander off without intimating our representatives
7. In such cases, we reserve the right to terminate our service contract with the concerned traveller(s) effective immediately. Please note Lovely Trails does not have any obligation to make compensation costs, make alternate arrangements and/or process refund.
Lovely Trails has a strict no-smoking, no-drinking and no illicit drug consumption policy for the entire duration of the tour. Traveller(s) are mandated not to carry any cigarettes, liquor or any other illegal substances with them for the tour. Carrying such prohibited substances can result in serious legal charges as deemed by relevant authorities. If any client(s) are under the influence or intoxicated or inebriated during the tour schedule, we reserve the right to stop them from participating in any events for the safety and wellbeing of all people involved and/or proceed the tour without them. Lovely Trails does not have any obligation to assist such traveller(s) who are intoxicated and are a nuisance to fellow tour participant(s) and anyone who comes in contact with them. We may even terminate the tour contract effective immediately, and we are not liable or responsible for any penalties, fines, any other additional charges, or any untoward consequences the client(s) may face because of his/her actions.
As part of your accommodation facilities, we book hotels (including but not limited to resorts/homestays/hostels/camping arrangements) at each destination, having in mind the level of comfort, budget, and ease of access. Allocation of rooms will be based on the number of people participating in the respective tour. Only the maximum number of people per room as per the hotel policy will be allowed to stay in your allocated rooms. Violating this rule may attract a penalty or additional charges from the hotel management, for which the traveller(s) is responsible. If the customer(s) wishes to change room or ask for an extra bed, he/she may notify our representative on tour and we will make necessary arrangements. However, any additional expense incurred shall be borne by the traveller(s).
If a single person booked a spot in a group tour, unless it is explicitly mentioned while booking, we would proceed to follow our default procedure of double occupancy, bunk-bed and/or room-sharing arrangement for the single person. If a family with children wants to stay in a room together, we will make the necessary arrangements so that children can be with their respective family. However, if the maximum occupancy rule(including additional bed) of the hotel management exceeds, Lovely Trails may make arrangements to accommodate a single family together.
If the customer(s) wishes to avail additional features given by the hotel (room service, laundry service, spa facilities, recreational facilities, bar facilities, telephone, paid TV channels, use of mini-bar in the room), he/she may do so at their own expenses. Lovely Trails tour package does not involve costs including but limited to room change, additional bed requirement, room service, tipping, laundry service, any fee for the use of recreational facilities at the hotel, food(apart from the meals provided by us), use of bar facilities, use of mini-bar in the room, telephone, paid TV channels. However, traveller(s) can use any free services offered by the accommodation place such as gym, swimming pool etc as per the rules stipulated by the hotel management.
In some destinations including international travel, accommodation places may charge the customer(s) a local tax and/or fee for the service they provide which will be billed only at the time of check-in or check-out. Similarly, in some accommodation places, they may ask for a security deposit at the time of check-in which will be refunded to the customer(s) at the time of check-out after verifying that the traveller(s) have not caused any property damage, stolen or lost properties belonging to the hotel. Lovely Trails will inform the traveller(s) about such payments in advance.
Please remember, the accommodation management may operate on their own set of rules and regulations. Failure to abide by those rules will attract charges or penalties and/or disputes. Lovely Trails is not responsible and will not involve in any dispute that may arise because of any rules violation by the traveller(s). If we are not able to book our selected hotels for the trip duration due to unforeseen reasons out of our control, Lovely Trails will make necessary alternate arrangements in any other accommodation facilities considering the level of comfort, budget and ease of access. However, we are not liable should any deviation occur in accommodation plans on rare occasions.
The check-in and check-out time depends on the rules of accommodation. They reserve the rights to accept/decline an early check-in request made by client(s) even when he/she is willing to pay an early check-in fee(if applicable). Similarly, the accommodation place can accept/decline your late check-out request based on their demand and practices at the time of request. Lovely Trails schedules the itinerary in such a way these situations could be avoided. However, we do not guarantee the possibility of early check-in and late check-out unless it was requested and confirmed at the time of booking. Traveller(s) who are particular about wanting an early check-in and/or late check-out option shall notify us at the time of booking so that Lovely Trails will make required arrangements with necessary extra payment to avoid any inconvenience. Please note that these additional charges will be included in the tour package and shall be borne by the traveller(s).
As part of our services, all tours that include meal provisions will be stated clearly during the enquiring phase. It is the duty of customer(s) to ensure such provisions with our representatives while booking. Traveller(s) should inform our representatives regarding any special meal requirements such as baby meal, fasting meal, allergies prior to the booking. Lovely Trails will work to make sure that your reasonable requests are incorporated in our meal provision. However, we do not guarantee that all of your requests will be fulfilled due to reasons out of our control. But we may offer alternate choices, and you have the right to accept/decline other options. Please note that meals are provided in a buffet system at a set time during the tour. Traveller(s) are requested to be punctual in collecting their respective meals on time. It may not be possible to wait or hold meals due to various operational constraints. Please note that we are not responsible for any additional charges incurred if you have missed your meal service and should you choose to go with alternate options. Special meal provisions will be arranged on request basis only. Please note that if we did not receive any special meal request before departure, we will proceed with our regular meal provision plan for all customers on tour. For any client(s) who is in need of special meal provision but did not request before, Lovely Trails may help you with our efforts to find you suitable options for which the respective traveller(s) should bear the expenses. Please note that under such circumstances, traveller(s) cannot hold Lovely Trails responsible or liable.
In some destinations, we may provide meal passes or tokens or allowances so that tour participant(s) can collect their meal directly from respective food stalls.
On tours where we do not offer any meal as part of our tour package, Lovely Trails will take the traveller(s) to appropriate hotels during mealtime. Customer(s) reserves the right to utilize those facilities. Please note that should you choose to forego the choice at mealtime, and request for another pit stop en route at another hotel, Lovely Trails is not obligated to do so.
As part of our meal provisions, we may offer complimentary snacks from time to time over the duration of the tour. Traveller(s) have the right to accept/decline such complimentary packages offered by Lovely Trails. Please note that we do not manufacture such complimentary food items. We are just collaborators with our vendors to treat our customers, and hence we do not own any responsibility for the taste, smell, texture and after-effects of such products. However, participant(s) can register their comments with us and we shall strive to achieve your expectations.
A representative of Lovely Trails known as Tour Manager/Tour Leader/Instructors/Assistant/Guide and/or any other staff will accompany the traveller(s) on all the relevant tour packages. Please note that the duty of Lovely Trails' representatives is only to manage, guide and assist participant(s) in terms of sight-seeing and activities. They are not obliged to be a personal assistant or a security for you or your possessions, interfere in any dispute, responsible for your flout of rules & regulations, consequences that may arise out of traveller(s) misbehaviour. Any inconvenience or discomfort over the nature of the tour can be brought to your assigned representative while you're on tour.
When a booking is confirmed, the traveller(s) agree that they adhere to all rules & regulations stipulated by Lovely Trails during the tour schedule. Please note any destination including but not limited to tourist attractions, hotels, transport facilities in the itinerary may have their own set rules & regulations to be followed. All tour participants must follow those guidelines if any, without fail. Please note that failure to abide by rules set out by us and/or any destination will have its repercussions and traveller(s) are responsible to face such unintended consequences. We reserve the right to even terminate the contract effective immediately in such cases. Traveller(s) are requested to stay together with the group for the entire schedule. Should any tour participant(s) stray away from the group without prior intimation or information, Lovely Trails shall file a missing person(s) complaint with the local police station and also reserves the right to proceed the tour without them. We are not responsible or liable for any consequences and/or additional expenses incurred by the respective traveller(s) in such cases.
1. Accommodation plans are made subject to availability of hotels/guesthouse/resorts/service apartments/hostels/camping grounds at the destination.
2. Any specific accommodation details mentioned in the itinerary are subject to change. Lovely Trails will not compensate for any additional charges that may be incurred due to change in the places of stay.
3. We do not provide any meals unless it is explicitly mentioned in our tour plans. In such cases, the traveller(s) have to bear their costs of food. Lovely Trails may take the traveller(s) to appropriate hotels for mealtime. It is the right of the traveller(s) to utilize those services.
4. It is your responsibility to carry a sufficient amount of money in terms of cash and cards as well. Lovely Trails will not be responsible for any inconvenience you might face due to cash shortage.
5. Lovely Trails does not allow children under 18 years of age to come on board the tour without an adult accompanying them. Should a minor participate in any tour domestic or international, he/she may do so provided a consent form duly signed by a parent/both parent/legal guardian is submitted before departure. Such documents should also be presented on demand to any authority at your destinations.
6. If children under 18 years of age are travelling to international countries, the adult accompanying rule should be complied as per the destination site's requirement. Failure to comply by this rule may attract hefty penalty, denying entry permit, and/or cancellation of trip. Please note that Lovely Trails will not be responsible for such instances and not obligated to make any alternate arrangements for the tour participant(s).
7. Any costs incurred on tour apart from the charges included in the itinerary shall be borne by the traveller(s).
8. Additional charges, if applicable, will be incurred if there is a change in itinerary due to unforeseeable events.
9. We are not responsible for any loss or damage to property or luggage during the commute. It is your responsibility to take care of your valuable items.
10. Any damage caused by the traveller(s) including but not limited to vandalising or damaging properties belonging to accommodation place, hotels, any tourist spots, modes of transport, should be borne by them. Lovely Trails is not responsible for the consequences the traveller(s) may face because of their actions.
11. Bookings once made in a particular person(s) name cannot be transferred to another person. If the customer(s) wants a change of names, the original booking will be deemed cancelled and a new booking will be made under suitable name as per the current charges.
12. In the case of International tours, if requested by the traveller(s), Lovely Trails may help them in obtaining foreign currency through our foreign exchange partners. Please note that we are just a facilitator and we do not own responsibility for any loss or damage that might occur from such a transaction.
13. Lovely Trails does not guarantee seating arrangements in (including but limited to) flight, train, and/or bus. Seats are allocated according to the booking software, and we have no part in seat allocation during such travel.
14. Traveller(s) are expected to report on time from the start of the tour until the end. Any delay in said reporting may cause a change in itinerary for which Lovely Trails is not responsible.
15. Traveller(s) should be punctual from the start of the tour until the end. Any reporting time mentioned by our representatives over the course of the tour should be abided and respected. Should a passenger(s) fail to report on time, we reserve the right to proceed the tour without having to wait for them. Our tour representatives are authorized to make such decisions in order to avoid any serious implications resulting from the delay. Any consequences and additional charges incurred due to lack of punctuality should be borne by respective traveller(s) and we will not be liable for such events.
16. Lovely Trails is not responsible for any charges/loss the traveller(s) incur as a consequence of their action.
17. As part of hospitality services, we may offer complimentary items for all the tour participant(s). Traveller(s) can accept/decline such things when offered by Lovely Trails.
18. All tour participant(s) should behave in a civilized manner for the whole duration of tour. Any deviation from a civilized behaviour will have its repercussions and Lovely Trails is not responsible for such consequences.
Any services that we offer from third-party business owners, vendors, and contracts, please note that Lovely Trails is only a facilitator and not responsible for their quality of service or the lack thereof. Quality is of paramount importance to us, and we take utmost care in selecting our third-party service providers. Lovely Trails makes our best effort to provide invaluable experience to our traveller(s) in all aspects. If the tour participant(s) face any dip in quality service from third-party providers due to reasons out of our control, Lovely Trails will try to bridge the gap by making any alternate arrangements. Should any dispute, loss, and/or damage arise between tour participant(s) and the mentioned third-parties, we will make an effort to reach an amicable solution. However, as only facilitators, Lovely Trails shall not be held responsible or liable in such cases.
Lovely Trails offers a 'Gift a Tour' program for anyone who wishes to give a tour for their near and dear ones. A travel voucher for any value can be bought and presented to your loved ones. Please note these vouchers should be redeemed before 3 years from the date of purchase.
If any dispute arises concerning the agreement between you and us as constituted by these terms and conditions or otherwise, the laws of Coimbatore jurisdiction will apply. You unconditionally submit to the exclusive jurisdiction of the courts of Coimbatore. You also waive any right to object to any action being brought in the courts of Coimbatore.
